How to win back a regular who stopped coming
Find members whose visit gap has exceeded their own normal pattern, not some fixed number of days. Then contact them once, briefly, with something specific. This is usually the highest-return action available to a small business and almost nobody does it.
In hospitality, customers do not leave. They just stop arriving, and the absence is invisible until enough of them accumulate.
Define lapsed relative to the person
A fixed rule such as “no visit in 60 days” catches your fortnightly customers far too late and flags your daily ones far too early.
Use their own pattern instead. Somebody who came three times a week and has not been for three weeks has genuinely changed behaviour. Somebody who comes monthly and missed a month has not.
Why this group is worth the effort
They already liked you enough to come often. You are not persuading a stranger to try you; you are reminding somebody who already decided.
They also converted once through your loyalty programme, which means you can actually identify them. Without one, this list does not exist.
What to say
Short, specific, and not a discount by default.
“We noticed you haven’t been in for a while, and you were two stamps off a reward.” That beats a generic offer. It is true, it is about them, and it names something they already have.
Once, not repeatedly
One message. If they do not come back, that is an answer. A second and third attempt converts an acceptable nudge into something that damages the relationship you were trying to repair.
Measure it honestly
Count how many of the people you contacted actually returned within a month, against a comparable group you did not contact. Without that comparison you are measuring the weather.
Common questions
Can I email them?
Only if they agreed to be contacted. Joining a loyalty programme is not by itself consent to marketing, and getting this wrong costs more than the campaign earns.
How often should I do this?
Monthly is plenty. The same person appearing on the list repeatedly has answered you.
