Inviting and removing staff

Invite by email. The invitation can only be accepted by an account whose verified email exactly matches the address you invited. Deactivating removes access but keeps the person's history; removing deletes the assignment entirely and requires a fresh invite to return.

The roster shows pending, active, inactive and admin states distinctly, so who has access is never a guess.

Invitations are bound to an address

An invite can only be accepted by an account whose verified email matches exactly. This is what stops a forwarded invitation granting access to somebody else.

Deactivate against remove

Deactivate keeps the site assignment and history, so the person can be reactivated. Remove deletes the assignment; returning needs a new invite.

Do it on the last day

Attribution is only worth something if the access list is current. An ex-employee who still has access can still scan customers.

Someone accepted with a different email and it failed.

That is intended. The authenticated account's verified email must match the invited address exactly.

Which should I use when someone leaves?

Deactivate for a seasonal or temporary departure, because reactivating is one click. Remove when they are not coming back.
